Responsibilities

Serve as the primary point of contact for prospective and current clients
Respond to phone calls, voicemails, texts, and emails in a timely and professional manner
Schedule intake appointments and ongoing sessions as needed
Send intake and consent documents and track completion
Follow up with prospective clients and upcoming intakes to ensure readiness
Send payment links prior to sessions as required
Monitor payment status and follow up on missing payments
Notify therapists of unpaid sessions or billing related issues
Assist with basic billing coordination and documentation as needed
Maintain accurate client records and documentation in the EHR
Monitor active, inactive, and discharged client lists
Process superbills for inactive or discharged clients when applicable
Coordinate with therapists to support continuity of care
Contact therapists when clients are not scheduling weekly or clinically recommended sessions
Send appointment reminder texts the morning of sessions
Document all client communication and outreach in the system
Support day to day administrative needs of the practice
Ensure internal processes are followed consistently
Assist with drafting and publishing blog posts
Support online outreach efforts (such as Reddit or community platforms) in alignment with practice guidelines
Track basic outreach activity and report updates as requested

Required

Experience in an administrative, coordinator, or client facing role (healthcare or mental health preferred)
Strong written and verbal communication skills
Excellent organizational skills and attention to detail
Comfort scheduling appointments and managing calendars
Familiarity with EHR systems or willingness to learn
Ability to work independently in a remote setting while staying responsive
Comfort handling confidential information and maintaining HIPAA standards
Availability for limited in office support in Montclair, NJ as needed
Professional, client centered communication (phone, text, email)
Strong organization, time management, and follow through
Attention to detail and accurate documentation
Ability to prioritize tasks and manage multiple requests
Comfort using digital tools (email, scheduling platforms, spreadsheets)
Problem solving skills and ability to stay calm under pressure
Confidentiality and professionalism
Reliable computer or technology device
Personal phone
Stable, secure high speed internet (WiFi) for remote work

Preferred
