1039-Administrative Assistant II
Pacific Clinics is dedicated to providing treatment, training, and research for neurodivergent and disabled communities. The Administrative Assistant II will provide administrative support across programs, ensuring effective communication and the completion of various administrative tasks.

Responsibilities
Demonstrates mastery of Administrative Assistant I competencies
Provides administrative and clerical support to assigned department or team
Manages calendars, schedules appointments, and coordinates meetings
Prepares, edits, and distributes reports, memos, and correspondence
Organizes and maintains electronic and physical filing systems
Coordinates meeting logistics, including room bookings, materials, and follow-up
Handles incoming calls, emails, and visitor inquiries in a professional manner
Assists with data entry, spreadsheet creation, and basic data tracking
Supports departmental projects by organizing documents and timelines
Maintains office supply inventory and processes purchase requests
Ensures accuracy and confidentiality in handling sensitive documents
Liaises with other departments to facilitate communication and workflow
Supports onboarding and administrative orientation for new team members
Helps improve and streamline administrative processes as needed
Qualification
Required
High School Diploma or GED and two (2) years of experience in the field or related area, including intermediate skills with Microsoft applications (especially Word, Excel, and PowerPoint) required, or equivalent combination of education and experience (two years of relevant experience equals one year of education)
Strong organizational and time management skills
Proficiency in Microsoft Office applications and office technology
Effective verbal and written communication skills
Attention to detail in preparing documents, reports, and correspondence
Ability to manage multiple tasks and meet deadlines
Professionalism in interactions with internal and external stakeholders
Ability to maintain confidentiality and handle sensitive information appropriately
Initiative and problem-solving skills in daily administrative functions
Knowledge of office procedures and workflow coordination
Flexibility and adaptability to shifting priorities and team needs
Ability to work independently while supporting a collaborative team environment
Dependability and accountability in completing assigned tasks
Customer service orientation and a helpful, solution-focused mindset
Capacity to learn new systems and tools quickly and effectively
