Office Administrator

Responsibilities
Serve as the primary point of contact via phone, email, and in person
Greet and assist visitors, patrons, donors, and dance families with warmth, professionalism, and respect
Respond promptly to inquiries, ensuring a positive first impression
Manage daily office operations, including communications, scheduling, and general inquiries
Maintain organized physical and digital filing systems
Coordinate logistics and materials for Board meetings in collaboration with the Executive Director
Monitor office supplies and equipment
Respond to emails, voicemails, and inquiries within 24 hours
Provide administrative support for productions in collaboration with the Executive and Artistic teams
Assist with preparation of programs, inserts, and production-related materials
Support production timelines and internal communication
Assist the Artistic team with administrative and logistical needs as required
Assist Marketing with administrative needs related to programs, inserts, and reporting
Run reports and provide data support for Marketing and Development as needed
Maintain and update organizational databases and systems (including Baserow, Bloomerang, and Excel)
Work with the Accountant to assist with reconciling receivables
Maintain working knowledge of CFDE tuition rates and Season Memberships to support registrations and inquiries
Coordinate CFDE class forms and schedules in collaboration with the CFDE Principal
Support clear and respectful internal communication across departments
Serve as a liaison between external stakeholders and staff as appropriate
Identify opportunities to improve administrative workflows and operational efficiency
Qualification
Required
Minimum of 3 years of experience in administrative support or office management
Excellent verbal and written communication skills
Strong organizational and time management abilities
High level of professionalism and customer service
Proficiency in Excel, Word, Adobe, and database systems (training provided as needed)
Ability to manage multiple priorities in a collaborative, mission-driven environment
Preferred
Nonprofit or arts administration experience preferred, but not required
