Responsibilities

This position is responsible for scanning in Judgment and Commitments, offender unit jacket paperwork, Parole Commission/Supervision paperwork, and DCI paperwork as necessary using the OmniScan program
This position is responsible for quality control, confirming the OT87 screen Livescan, and data repair of the scanned documents housed in OmniDocs and for accurately identifying the offender’s information in OPUS and ensuring that all documentation scanned into OmniDocs via OmniScan is accurate
This position will consolidate files in OmniDocs by the document’s classification and retrieving retention files from State Archives when requested
This position is responsible for screening down offender jackets to reflect the documents approved for inclusion into the electronic file by NC DAC Legal Section
This position assists the receptionist with greeting and answering the telephone calls for Combined Records
This position requires knowledge of the policies and procedures governing the confidentiality of offender records and the Department of Adult Correction prisons policies and procedures, laws, and regulations. This position must keep abreast of any new changes within the Department of Adult Correction and the prisons which could affect the release approvals of offenders

Required

High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience
A valid driver's license and a good driving record is required to perform the duties required
Knowledge of the policies and procedures governing the confidentiality of offender records and the Department of Adult Correction prisons policies and procedures, laws, and regulations
Ability to enter and retrieve data of confidential records using various forms of database applications
Ability to adapt to frequent shifts in job priorities, especially when emergencies arise and work in a high-paced, high-stress environment

Preferred

A working knowledge of Microsoft Office and a minimum of 1-year administrative experience
Knowledge of NCDAC policies, procedures and protocols handling confidential records
Preference will be given to those with knowledge of OPUS (Offender Population Unified System; Electronic Document Management System (OMNI DOCS/OMNI SCAN) and those familiar with court documents
