Administrative Assistant
Hammonds House Museum is seeking an Administrative Assistant to provide oversight, documentation, and coordination for museum programs. The role involves maintaining office materials, managing member communications, and supporting museum events, all while ensuring a welcoming environment for guests.

Responsibilities
Maintaining office materials, records, and files for the organization’s programs in a manner that is organized, up to date, and easily accessible to personnel requiring their use
Maintaining the organization’s overall contact database, specifically detailing information about patrons, key stakeholders, board of trustees, membership, and volunteers
Managing the processing of new and renewing members, notification of expired members, and communicating with members to keep them engaged and current
Manage rental bookings; conduct site visits; execute Rental Agreement forms
Responsible for notifying board members, sponsors, government officials, VIPs, and various donor types at all levels about HHM programs and activities regularly. Send invitations when appropriate
Providing statistical updates regarding the museum’s constituent base in comparison to goals and objectives
Preparing mailing/emailing lists, labels for mass mailings
Processing email addresses from Guest sign in sheet into master list and transferring into online email provider
Prepare a weekly activity report primarily covering items under areas of responsibility
Working at special events and openings as required
Greeting and interact with guests visiting the facility providing them with knowledge about the museum’s history, mission, and exhibitions
Qualification
Required
Proven experience in an office environment with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and general computer literacy
Excellent communication skills with a friendly demeanor; bilingual abilities are a plus
Strong time management skills with the ability to prioritize tasks effectively in a busy setting
Knowledge of multi-line phone systems, office management procedures, and clerical tasks such as filing and data entry
Ability to handle confidential information discreetly while demonstrating professionalism at all times
Preferred
Prior experience in administrative roles such as receptionist, medical or dental receptionist, or personal assistant preferred
Familiarity with bookkeeping software like QuickBooks is advantageous
