HR Coordinator (Full-time)

Portland Art Museum is a dynamic institution that embraces diverse art forms and serves a broad range of artists and audiences. They are seeking an HR Coordinator who will manage various administrative tasks within the HR department, promote equity, and foster a positive workplace culture.

Responsibilities

Perform general HR administrative duties, including filing, document management, employment verifications, mail handling, supply ordering, photocopying, and maintenance of employee records in compliance with legal requirements
Provide people-centered administrative support to the HR department, responding to routine inquiries with professionalism and care. Monitors hr@pam and volunteers@pam email boxes
Manage the end-to-end onboarding process for employees and volunteers, including background checks, first day onboarding paperwork, DocuSign PowerForms, I-9 verification and file maintenance, new hire access setup (email, ID badges, payroll), and tracking and completion of all required onboarding checklists
Prepare personnel change documentation, including blue sheets and template-based memos, for review and completion by Directors or Partner
Support recruiting administration, including scheduling interviews, job ad creation, posting positions, responding to candidate inquiries, and sending applicant rejection communications
Coordinate driver approval and onboarding processes, including motor vehicle reports and maintenance of approved driver lists
Administer the 90-day check-in process for new hires, including tracking and follow-up
Support all-staff meetings and HR communications, including drafting slide decks, scheduling, and meeting logistics
Process gift cards, stipends, invoices, and credit card coding, ensuring timely and accurate submission to Accounts Payable
Design and update staff communication materials, including onsite and virtual bulletin boards, using Canva to ensure clear, timely, and engaging messaging
Coordinate employee recognition and engagement efforts, including monthly anniversary acknowledgements, uplifting moments (flowers and gift cards), and planning and support for staff appreciation and celebration events
Use Asana (or similar tools) to track tasks, deadlines, and recurring departmental processes
Maintain the staff photo directory and enrolls employees in required training, tracking completion and compliance
Participate in departmental and cross-functional administrative activities, including safety committee support, as assigned
Provides back-up support to the HR People & Culture Partner, as assigned
Performs other related duties as assigned

Required

Recent college graduates who hold a degree in Human Resources or a related field, such as Business Administration, Business Management, or Organizational Behavior. Alternatively, candidates may qualify with 3 to 5 years of progressive administrative experience in a high-volume role
HR certificate or previous HR experience is highly preferred
High proficiency level in the use of Google Suite tools (Gmail, Google Drive/Forms/Sheets/Docs), Adobe, DocuSign, and Canva
High proficiency with Microsoft Word, Excel, and PowerPoint
Comfort and adeptness with technology, showcasing tech-savviness. Familiarity with multiple platforms in the HR department, including ADP, Volgistics, Asana, MailChimp, Keldair, and various job platforms
Proficiency and familiarity with administrative tasks and/or HR department functions
Highly organized with meticulous attention to detail, experienced in prioritizing work plans and activities to handle high-volume workflows
Exceptional interpersonal skills, with the ability to work collaboratively within a team while independently and proactively managing tasks
Adept at adapting to rapidly shifting priorities and strategies
Capable of handling sensitive and confidential situations and documentation with care
Strong verbal and written communication skills, demonstrating comfort in communicating with staff at all levels and emphasizing inclusion
