Responsibilities
Handle daily bookkeeping, AP/AR, reconciliations, expense tracking, and financial reporting
Maintain project records (hard copy & digital), including contracts, invoices, non-PO approvals, and construction documentation
Coordinate licenses, permits, DOB filings, and manage insurance documentation (Property All Risk, Worker’s Comp, Health Insurance, Builder’s Risk)
Oversee office operations: supplies, vendor coordination, warehouse inventory, and existing furniture/asset records
Manage HR administrative tasks: business invitation letters, employment certificates, pension/benefit letters, onboarding paperwork, and personnel record updates
Coordinate communications between the New York office and AWC Thailand; support visiting staff
Maintain union-related documents and support preparation of strategies/materials as required
Support compliance reporting, audit preparation, payments follow-up, and general administrative tasks
Qualification
Required
3–5 years of bookkeeping and office administration experience
Proficiency in accounting software and Microsoft Office
Highly organized, detail-oriented, and able to manage multiple tasks independently with flexibility for both office-based and remote tasks, depending on organizational needs
Strong communication skills; comfortable coordinating with overseas teams
Eligibility to work in New York (NYC-based role)
Preferred
Experience handling HR administrative documentation preferred
Experience in hospitality, construction/design environments, or NYC operations is a plus
