Event Administrative Assistant

The Club, Inc is a private, member-only club seeking a Full-Time Event Services Administrative Assistant through iHire. This role provides administrative support to the Private Events Director and Event Coordinators, assisting with the planning and execution of private events and meetings held at The Club.

Responsibilities

Respond to general inquiries received through the events office email and main phone line; log details and route inquiries to the appropriate Event Coordinator
Track, process, and maintain event-related documentation including contracts, tax forms, credit card authorizations, event guidelines, and related paperwork
Work closely with the Events Director and Event Coordinators to track banquet event orders (BEOs) and manage function space holds
Maintain and update event-related forms, menus, and procedural guidelines
Assist with communication between internal departments and club members to support successful event execution
Attend required Food & Beverage meetings, Employee Partner meetings, and Banquet Event Order meetings as directed by the Director of Events

Required

Strong interest in pursuing a career in events or hospitality required
Proficient in Microsoft Word, Excel, and PowerPoint
Excellent verbal and written communication skills
Highly organized with strong attention to detail
Ability to manage multiple projects and deadlines simultaneously
Must be able to pass a pre-employment background check and drug screening

Preferred

Prior administrative or event-related experience preferred
Bachelor's degree in Hospitality Management, or currently working toward a hospitality or related degree
