Responsibilities
Manage the artwork procurement lifecycle, including viewing coordination, purchase tracking, and documentation
Coordinate shipping, receiving, storage, and delivery of artworks
Track artwork locations, statuses, and timelines to ensure accuracy and on-time delivery
Maintain accurate records in Airtable for artworks, vendors, shipments, and purchases
Support continuous improvement of internal tracking systems and workflows
Maintain databases of all artwork on loan from galleries, being purchased by clients, or scheduled for return to galleries
Perform data entry and real-time updates in databases and cloud-based filing systems
Serve as a primary point of contact with galleries, artists, framers, and vendors
Request quotes, confirm availability, coordinate logistics, and follow up on deliverables
Request and confirm client approvals in coordination with the art advisory team
Manage logistics for client viewings and purchases
Support the Framing Manager with framing coordination, scheduling, and tracking
Assist in overseeing the framing pipeline and conservation needs
Track frame selections, update internal databases, and manage progress and timelines to schedule transport and installations
Coordinate directly with framing partners
Provide day-to-day logistical and administrative support to art advisors
Assist with timelines, documentation, and client-facing materials related to procurement, framing, and delivery
Prepare logistics estimates for transportation, storage, and installation services
Support client communication related to scheduling, logistics, and scope of services
Assist with transportation, storage, and installation logistics; participate in art installation as needed
Maintain accurate Airtable records related to projects, clients, and estimates
Schedule and oversee installations and viewings with clients and vendors
Receive and process deliveries as necessary
Qualification
Required
Bachelor's degree in a related field preferred
3–5+ years of professional experience in logistics, procurement, project coordination, operations, or a related role
Experience with Airtable, Google Workspace, and Adobe, or similar database and project management systems
Strong written and verbal communication skills; comfortable working directly with clients, galleries, and vendors
Excellent organizational and time-management skills, with the ability to manage multiple projects and deadlines simultaneously
High attention to detail and follow-through
Professional, solution-oriented demeanor with strong interpersonal skills
Preferred
Interest in fine art, design, or cultural organizations strongly preferred
