Responsibilities
Supervise and provide guidance to two Facilities Coordinators
Ensure timely and effective dispatching of facilities and housekeeping emergency calls, either directly or through coordinators
Monitor and improve response workflows for emergency and routine service requests
Process purchase orders and invoices in accordance with company policies
Track departmental budgets and expenditures; assist in financial reporting and forecasting
Manage payroll processing and time-off tracking for departmental staff
Maintain accurate records and documentation for audits and compliance
Develop, document, and implement administrative procedures to enhance departmental efficiency
Identify opportunities for process improvement and lead initiatives to streamline operations
Ensure alignment of departmental practices with broader organizational goals and compliance requirements
Serve as a liaison between the Engineering Department and other internal departments (e.g., Finance, HR, Procurement)
Coordinate with vendors, contractors, and service providers as needed
Prepare reports, presentations, and communications for leadership and stakeholders
Qualification
Required
Bachelor's degree in Business Administration, Facilities Management, or related field (or equivalent experience)
5+ years of experience in business operations, facilities administration, or a related role
Prior supervisory experience preferred
Strong organizational and multitasking skills
Proficiency in Microsoft Office Suite and enterprise systems (e.g., CMMS, Workday, ERP, payroll software)
Excellent communication and interpersonal skills
Preferred
Experience in a healthcare environment
Familiarity with emergency dispatch protocols and facilities maintenance workflows
Knowledge of procurement and financial systems
