Legal Assistant
Fluet is a boutique firm serving the national security, aerospace, defense, and intelligence sectors, seeking a highly organized Legal Assistant to support their attorneys and legal teams. The role involves managing administrative tasks, providing attorney support, and ensuring confidentiality and compliance with legal standards.
Responsibilities
Perform clerical and receptionist duties including filing, photocopying, scanning, faxing, and assembling binders
Manage a multi-line phone system and route calls appropriately
Assist with front desk responsibilities and greet visitors professionally
Ensure timely receipt and distribution of incoming and outgoing mail
Maintain clean, organized, and professional office spaces
Coordinate, schedule, confirm, and update meetings, appointments, and court dates
Coordinate conference room reservations and meeting logistics
Manage office supplies and replenishment orders
Manage service accounts and relationships with vendors
Manage attorney calendars; schedule meetings and appointments; coordinate travel; and process expense reports
Prepare meeting agendas, take concise notes, and track action items
Draft, proofread, format, and finalize correspondence, memoranda, and basic legal documents
Assist with preparation and submission of filings in federal and state courts and administrative agencies
Support deposition, hearing, and trial preparation, including checklists, logistics, exhibits, and deliveries
Assist with billing, time entry, invoicing, and expense tracking
Accurately review and organize voluminous legal documents and correspondence
Maintain multiple filing systems, both electronic and hard copy
Maintain and manage recordkeeping of electronic and physical documents
Manage and update legal databases and tracking systems
Retrieve information from records, email, minutes, and other documents as requested
Prepare written summaries of data when needed
Support attorneys and paralegals with administrative tasks as needed
Ensure confidentiality and compliance with firm policies and legal standards
Perform special administrative projects and other related duties as assigned
Qualification
Required
Associate's Degree or equivalent
At least three (3) years of relevant work experience
Proficiency in scheduling, coordinating, and confirming court dates, appointments, and meetings
Strong written and verbal communication skills
Excellent organizational skills
Excellent attention to detail
Ability to manage multiple tasks and meet tight deadlines
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe, and file management software
Ability to exercise discretion and maintain confidentiality
Excellent verbal and written communication skills
Excellent interpersonal and customer service skills
Strong understanding and experience as it relates to providing superior customer service
High-level proficiency in Microsoft Office Suite (specifically Word and Excel) and Adobe Acrobat
Excellent organizational skills and strong attention to detail
Strong sense of punctuality and reliability
Basic understanding of clerical procedures and systems, such as record-keeping and filing
Ability to work independently and in a team environment
Ability to exercise good judgment
Preferred
Familiarity with general legal documents and terminology preferred
Previous experience working in a law firm preferred
Working knowledge of case management and timekeeping software preferred
Familiarity with state and federal courts preferred
