Responsibilities
Lead the assessment, design, and implementation of leave of absence, paid time off, life insurance, and disability programs
Serve as the primary resource for administering life and disability plans
Manage end-to-end processing of life insurance claims, partnering with Life Insurance, Retirement, and COBRA vendors to ensure accurate processing, clear communication, and timely resolution for employees and beneficiaries
Analyze program data and trends to identify opportunities for improvement and inform strategic decisions
Partner with HR and business leaders to recommend policy updates and enhancements to benefits programs
Oversee the administration and processing of the company’s Tuition Reimbursement Program, ensuring timely review, approval, and accurate reimbursement processing
Maintain program policies, eligibility guidelines, and documentation standards to ensure consistency and compliance
Analyze program utilization and costs, providing recommendations to enhance employee experience and program effectiveness
Assist with the implementation, administration, and ongoing oversight of union benefit programs in alignment with collective bargaining agreements
Serve as a liaison with benefit vendors to ensure accurate plan setup, eligibility management, and issue resolution
Ensure all union benefit programs are administered in accordance with contractual obligations and regulatory requirements
Partner with HR, Payroll, and Crowley leadership to support negotiations, program updates, and accurate reporting related to union benefits
Manage relationships with leave, disability, and other benefits vendors, monitoring performance and ensuring high-quality service delivery
Assist in coordinating RFPs, evaluating vendor proposals, and leading implementation of new benefits programs or enhancements
Oversee daily administration of leave and other benefit programs, including tracking, reporting, and recordkeeping, ensuring accuracy and compliance
Maintain expert knowledge of federal, state, and local leave, disability, and accommodation laws, including FMLA, ADAAA, and applicable local regulations
Ensure company policies comply with all legal requirements and reflect HR best practices
Lead policy creation and updates, ensuring employees and managers have clear guidance
Maintain and update the HR SharePoint site with relevant resources, forms, and policy information
Provide expert guidance to employees and managers on leave, accommodations, paid time off, and life/disability programs
Ensure employees understand eligibility requirements, responsibilities, and documentation needed for leaves and benefits
Facilitate timely and smooth return-to-work transitions for employees on leave
Administer PTO and sick leave programs, including accruals, eligibility rules, carryover limits, and policy compliance across employee populations
Research and resolve complex accrual, balance, and eligibility questions; analyze discrepancies and recommend corrective actions
Process PTO and sick leave balance adjustments, corrections, and audits to ensure data accuracy and alignment with company policies
Serve as a subject matter expert and primary point of contact for employees and leaders regarding time-off programs and related inquiries
Partner closely with HRIS and IT teams to troubleshoot system issues, support configuration changes, test enhancements, and ensure accurate accrual calculations
Support annual processes and system updates (e.g., year-end carryover, policy changes, system upgrades) related to time-off programs
Develop and maintain documentation, job aids, and process guides for PTO and sick leave administration
Identify opportunities for process improvements and automation to enhance accuracy, compliance, and employee experience
Qualification
Required
Bachelor's degree in business, human resources or a related field; or a combination of post-high school and equal experience may be substituted for education
8+ years of benefits experience in a corporate or vendor environment and demonstrated experience with HRIS platforms
Advanced proficiency with Microsoft Office products, including Excel, Outlook and Word
Proficient with HRIS software, preferably Oracle
Preferred
Professional HR certification (PHR, SPHR, SHRM-CP, SHRM-SCP)
