This role is essential in ensuring smooth day-to-day operations, coordinating documentation, and supporting project teams with logistical and clerical tasks.

Responsibilities
Provide administrative support to Tool Install leadership and project teams
Coordinate meetings, prepare agendas, and document minutes
Manage and organize project documentation, including RFIs, submittals, and change orders
Assist with onboarding and access control for new team members and subcontractors
Maintain office supplies, equipment, and general workspace organization
Support scheduling, travel arrangements, and expense reporting
Ensure compliance with company policies and procedures
Serve as a liaison between internal departments and external vendors
Entering and auditing timekeeping data, managing timesheets, and preparing payroll reports
Compiling required documentation, verifying data accuracy, and supporting billing-related reporting
Qualification
Required
Associate's degree or equivalent experience in Business Administration or related field
3+ years of administrative experience, preferably in construction or technical environments
Strong organizational and communication skills
Attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Ability to handle confidential information with discretion
Preferred
Experience with project management tools such as Procore or Bluebeam is a plus
OSHA 10 certification preferred
Bilingual (English & Spanish)
