Responsibilities

Maintain strict confidentiality regarding all clients, as well as all office and client-related matters
Bilingual (Spanish/English) required
Establish credibility through effective communications with TLGNWA members, staff, clients, and our community
Receive and respond to telephone calls to the firm, manage and direct incoming calls, perform prospective client intakes, and update voice recordings on phone system
Respond to social media inquiries and reviews
Open, sort, scan, and distribute incoming mail
Process outgoing mail, including preparing certified mail
Accurately and timely enter and approve all hours worked in TLGNWA database
Accurately and timely enter and approve billable work and client expenses in TLGNWA database
Support attorneys and provide general clerical support, including photocopying, faxing, emailing, scanning, and mailing
Maintain client/matter open and closed file list and run conflict checks
Create new client files, as needed
Scan and file digitized client files
Draft, prepare, and/or transmit correspondence, as needed
Organize and maintain TLGNWA and client files and/or documents
Monitor and replenish TLGNWA office supplies, office snacks, and drinks regularly
Ensure the kitchen and conference rooms are neat, clean, and orderly
Attend and take minutes of meetings as needed
Prepare dictated documents
Provide interpretation services for telephone, in-person, and written communications with clients and prospective clients
Respond to all emails in admin@lawgroupnwa.com email account and all Slack messages
Run firm errands as needed, including, but not limited to purchasing supplies, mailing items at the post office or overnight delivery service, shredding confidential documents, and delivering pleadings and filings to courthouses or clients (mileage paid for all firm-related errands)
Other duties and tasks as assigned and general practice support for firm attorneys

Ability to maintain client confidentiality in compliance with firm policies and privacy laws

HS Diploma or equivalent
The right candidate for this position will be a high school graduate or possess a GED certification, with at least 2 years of administrative, or equivalent, experience
Must be able to establish work authorization in the United States

Preferred

Associate's degree preferred, or equivalent combination of education, training, and experience
Law firm, medical, or business office experience
