Office Manager

CineMed is a healthcare education company that is transitioning into a technology-enabled organization. They are seeking an Operations & HR Manager to enhance internal systems, manage HR processes, and ensure compliance while supporting cross-departmental coordination.

Hospitals and Health Care

Responsibilities

Manage hiring, onboarding, and offboarding workflows
Maintain employee handbook, HR policies, and personnel files
Administer benefits (healthcare, 401k, PTO, leave)
Coordinate payroll with external bookkeeping/accounting partners
Ensure compliance with state and federal employment regulations
Support conflict resolution and employee relations
Assist with performance check-ins and employee KPIs
Provide administrative support to executive leadership (scheduling, coordination, communication)
Manage vendor, contractor, and partner relationships
Support interdepartmental coordination and budget tracking
Maintain workplace records and storage (including Iron Mountain)
Oversee insurance certificates, contracts, renewals, and documentation
Support facilities needs (virtual + legacy logistics)
Work with external bookkeeping firm for payroll, AP/AR, invoicing, and reporting
Assist division heads with simple departmental budgets
Track vendor spending and renewals
Maintain corporate records, contracts, and filing schedules
Support state/federal compliance, annual reporting, and renewals
Coordinate with legal and CPA firms as needed
Track policies, insurance, and risk documentation
Documenting internal processes, SOPs, and workflows
Organizing shared resources, templates, and knowledge bases
Ensuring information doesn’t live 'in people’s heads'

Required

3–7 years of experience in Operations, HR, Office Management, or Business Administration
Experience with HR policies, onboarding, and compliance
Strong written and verbal communication skills
Experience in remote or distributed teams
High discretion when working with confidential information
Strong organizational and project management skills

Preferred

SHRM certification (SHRM-CP or SHRM-SCP)
Experience in healthcare, education, or professional services
Familiarity with benefits administration and payroll systems
Vendor or contractor management experience
