Title Agency Commercial Escrow Officer

Vanguard Title Company is seeking a highly skilled and experienced Commercial Escrow Officer to join their title agency team. The role involves managing all aspects of the escrow process for complex commercial and new construction real estate transactions, ensuring compliance and timely closings while coordinating with multiple stakeholders.

Responsibilities

Manage and oversee the escrow process for commercial and new construction real estate transactions from start to finish, including the preparation, review, and execution of escrow instructions and documents
Review and interpret commercial purchase agreements, contracts, and lender instructions to ensure compliance with all escrow and title requirements
Collaborate with clients, lenders, attorneys, real estate brokers, builders, and title officers to facilitate smooth and timely closings
Resolve title issues such as liens, judgments, and encumbrances prior to closing and work with title officers to clear any exceptions
Prepare settlement statements, closing documents, and disbursement of funds in accordance with the terms of the contract and lender instructions
Ensure compliance with local, state, and federal regulations, including RESPA, TRID, and other applicable guidelines
Maintain accurate records of all escrow transactions and document all communication and actions taken during the escrow process
Coordinate the signing of documents with clients and ensure that all required documents are properly executed and notarized
Disburse escrow funds, process wire transfers, and ensure all funds are balanced and accounted for prior to closing
Provide exceptional customer service by addressing client inquiries and resolving any issues or concerns that arise during the escrow process

Required

High school diploma or equivalent
3-5 years of experience as an Escrow Officer, with specific experience in commercial real estate transactions
Strong knowledge of commercial escrow procedures, title insurance, and real estate closing processes
Proficiency with escrow and title software systems (e.g., SoftPro, RamQuest, or ResWare) and Microsoft Office Suite
Strong organizational skills and the ability to manage multiple complex transactions simultaneously
Excellent communication and interpersonal skills to effectively interact with clients, attorneys, lenders, brokers, and other stakeholders
High attention to detail and accuracy in preparing and reviewing legal documents
Ability to resolve issues proactively and work under tight deadlines
Knowledge of federal, state, and local real estate laws and regulations, including RESPA and TRID
Notary public license or the ability to obtain one within a designated time frame

Preferred

Bachelor's degree in real estate, business, or a related field is preferred
Previous experience handling multi-million-dollar commercial transactions
Existing relationships with commercial real estate professionals, lenders, and attorneys
Professional certification or advanced training in escrow and title services
Experience with managing escrow for complex property types such as industrial, retail, office buildings, and multi-family housing
