BOZA ADMINISTRATIVE ASSISTANT 1

The City of Milwaukee is dedicated to providing exceptional service to its residents and is seeking a BOZA Administrative Assistant 1 to support the Board of Zoning Appeals. This role involves performing various administrative duties, assisting appellants with applications, preparing for monthly hearings, and providing information to the public and other departments.

Responsibilities

Provide appellants with an appropriate checklist of application requirements, based on the type of zoning appeal required
Assist appellants with the submission of zoning appeal applications, checking for completeness and accuracy
Provide information about Board procedures, timing, and requirements
Assemble and process application materials for special uses and variances
Review denial letters for accuracy
Provide information to the public, appellants, alderpersons, other departments and agencies
Publish Board of Zoning Appeals hearings in Legistar
Prepare for monthly BOZA hearings
Notify petitioners and interested parties of the Board of Zoning Appeals hearings via mail

Required

One year of office support experience coordinating and working on a variety of complex clerical assignments related to the essential functions, such as serving customers, using computers to enter data and prepare documents, and organizing files
Knowledge of office procedures, systems, terminology, and equipment
Ability to read and understand work-related documents, such as policies and procedures
Knowledge of standard software applications to create documents, use spreadsheets and generate reports
Ability to learn specialized computer applications to query databases and perform other job-related transactions
Ability to read and apply State statutes and City ordinances
Ability to perform accurate data entry
Ability to perform basic mathematical calculations
Written communication skills to prepare clear and accurate correspondence and documents
Knowledge of English writing mechanics and the ability to proofread documents and reports
Verbal communication skills to convey information clearly and effectively to customers and coworkers
Ability to display empathy and tact
Ability to serve the public and represent the department positively
Ability to work effectively with supervisors and staff
Teamwork skills and the ability to work cooperatively and fairly with people whose backgrounds may differ from one's own
Ability to remain composed during stressful situations
Ability to follow instructions given by supervisors
Ability to organize and complete work assignments in a timely manner
Ability to accurately maintain numerical and alphabetical filing systems
Ability to coordinate meetings and manage calendars for supervisors and staff
Ability to show initiative and continually improve processes
Ability to handle sensitive information carefully
Ability to handle multiple priorities and to work within tight time constraints
Attention to detail to ensure accurate documentation
