Responsibilities

Coordinate and support the development of potential courses and programs across various disciplines (online, on campus, field trips) in response to requests from potential instructors, students, and/or community organizations
Coordinate course proposal process for new courses each term
Coordinates and produces a schedule of classes each term
Recruit, train, and support new volunteers and instructors looking to teach
Identify and coordinate facilities, services, materials, supplies, and equipment as necessary for courses and events
Coordinate to ensure that the course offerings meet University, CSU and OLLI’s risk and liability requirements
Coordinate and administer course reminders and course evaluations
Serve as the primary contact for instructors, including coordinating and facilitating regular meetings and providing support to deliver successful learning opportunities
Work with the Program Support Specialist to ensure that instructors and volunteers are in compliance to teach each term
Assist instructors with obtaining necessary course materials and online support
Develop and deliver instructor orientations and other volunteer training courses to ensure quality and consistency across all program areas
Stay up to date on current trends for lifelong learning and learning after 50
Support the Dean to review course evaluations and survey questions to analyze results; use this feedback to grow and improve programs
Coordinate with instructors and the Graphic Designer to co-develop marketing materials for courses, including content and regular updates for the program website, social media campaigns, and other forms of digital marketing and outreach
Collaborate with the Graphic Designer to produce a course catalog each term
Work with volunteer committees to generate ideas, strengthen member recruitment efforts, and foster community ambassadorship
Collaborate with the OLLI Specialist in administering the weekly newsletter
Coordinate course and program recruiting events
Identify and build relationships with media outlets and advertisers, both regionally and nationally
Develop data-informed marketing and outreach strategies to recruit and retain members with the goal of sustaining a minimum of 1000 members
Support the cultivation and solicitation of donations from individual members, prospective donors, and business sponsors through direct outreach, events, and relationship management
Follow up with donors and sustaining members to send gratitude cards/letters when donations have been made
Serve as the liaison to the OLLI National Resource Center
With the support from the Dean and in collaboration with the Budget Analyst, establish, monitor, and review budgets for each term and academic year to ensure a balanced budget
Prepare preliminary budget and analyze costs for individual course offerings and events
Ensure that contracts and agreements are in place when using off campus facilities or resources
With the support of the Dean and the Budget Analyst, oversee the submission process of the OLLI Annual report

Required

Equivalent to two years of experience in planning classes or programs in a specialized field or area, preferably in higher, extended, or adult education
Experience developing resources, budgets, and marketing plans for educational programs and in acting as a liaison with the community is desirable
Teaching experience in higher or extended education may be substituted for experience on a year-for-year basis
Equivalent to graduation from a four-year college or university, preferably with courses in adult education and curriculum planning
Knowledge of the procedures and practices in educational program and curriculum planning; resources of the campus and the surrounding community; and the processes required to plan and construct academic programs and course outlines
Ability to determine needs for new or revised programs; plan course hours and credit; develop course outlines with instructors; locate instructors and to assist them in understanding and completing contract arrangements; develop budgets and analyze costs; write promotional materials and to develop a variety of promotional techniques; represent the CSU system to the community and develop working relationships; manage logistics of providing classes; and maintain cost information and records

Preferred

Master's degree
Experience in planning programs and/or recruiting students in higher, extended, or adult education
Experience developing resources, budgets, and marketing plans for educational programs
Experience in fundraising and community outreach
