Membership Administrative Coordinator

Girl Scouts of Maine is seeking a Membership Administrative Coordinator to drive membership growth through planning and executing statewide recruitment events. Responsibilities

Drive membership growth by planning, scheduling and leading high-impact recruitment events statewide, including identifying, booking, and confirming accessible, welcoming venues that align with recruitment objectives
Develop and maintain a statewide recruitment event calendar, ensuring coverage across priority communities and target audiences
Maintain inventory of recruitment marketing materials (e.g., giveaways, flyers, signage)
Manage event logistics, including set-up needs, staffing support, supply distribution, and on-site execution to ensure smooth and successful events
Track event attendance to measure potential impact
Continuously assess recruitment events to ensure optimal impact and effectiveness in where, when, and how we engage with communities
Provide backup support by leading high-impact recruitment events when needed
Work collaboratively with Volunteer Support, Marketing, and volunteer partners to align recruitment strategies, campaigns, and lead generation initiatives for maximum impact
Build and strengthen partnerships with community organizations, schools, agencies, and youth-serving groups to expand visibility, engagement, and access to prospective members
Assist in lead follow-up and nurturing, ensuring timely and consistent communication with potential members as needed
Partner with the Volunteer Support team to plan, schedule, and coordinate a variety of volunteer meetings and activities

Required

Minimum 2-4 years of experience in sales, event coordination or customer service
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Familiarity with social media platforms
Prior experience with CRM software with prior Salesforce experience preferred
Strong organizational and time-management skills with the ability to manage multiple deadlines
Self-starter who can work independently and take initiative
Highly organized with strong attention to detail
Excellent written and verbal communication skills
Willingness to work evenings, weekends, and travel in-state as needed
Valid driver's license, reliable transportation, and proof of insurance required
Ability to lift and/or move up to 25 lbs (boxes, materials and equipment)
Possess physical endurance including prolonged standing, bending, stooping and stretching
