They are seeking a highly organized Executive Assistant to support the Vice President of Publishing by managing calendars, coordinating publishing operations, and ensuring effective communication across teams.

Responsibilities

Manage the VP’s calendar, correspondence, and task flow with the explicit goal of preserving focus for high-impact leadership, editorial, and strategic work
Filter, prioritize, and route requests—distinguishing what requires executive attention versus delegation or deferral
Prepare meeting agendas, briefing notes, summaries, and contextual materials
Track decisions, action items, and follow-ups to ensure conversations translate into clear execution
Anticipate administrative and logistical needs, proposing solutions before they become distractions
Maintain organized digital and physical filing systems for publishing, communication, and executive records
Draft, edit, and review internal and external correspondence on behalf of the VP with clarity, professionalism, and discretion
Support end-to-end publishing workflows across print, eBook, and audio formats, from manuscript intake to release
Maintain working proficiency in core publishing platforms, including: Amazon Seller Central / Kindle Direct Publishing (KDP), BookBaby (print & eBook distribution), Audible / ACX and Spotify for Podcasters (audiobook publishing), Bowker / MyIdentifiers (ISBN management), Print Fulfillment with our Global Printer
Track publication status, metadata accuracy, proof reviews, approvals, and production timelines
Maintain organized publishing records, including ISBN assignments, contracts, schedules, and checklists
Coordinate with authors, internal teams, and external vendors to ensure quality control and timely delivery
Assist with proofreading coordination, final reviews, and launch readiness
Manage and maintain Monday.com dashboards and project trackers for publishing projects
Track Key Performance Indicators (KPIs) related to publishing output, timelines, and communication initiatives
Generate reports and executive summaries to support data-informed decision-making
Monitor risks to schedules, quality, or momentum and proactively flag concerns
Serve as a calm, professional liaison between the VP, authors, internal departments, and external partners
Manage correspondence related to publishing progress, timelines, and deliverables with clarity and grace
Ensure authors and collaborators feel informed, supported, and respected throughout the publishing process
Support department-wide communication planning, ensuring information flows cleanly without confusion or redundancy
Represent the VP with professionalism, confidence, empathy, and discretion
Commit to achieving proficiency in all assigned publishing platforms within six (6) months of hire
Learn or strengthen proficiency in Adobe InDesign and Acrobat
Stay informed on emerging publishing technologies, audio platforms, and analytics tools
Identify opportunities to improve workflows, reduce friction, and enhance operational clarity
Demonstrate adaptability, openness to feedback, and readiness for increasing responsibility

Required

Must be a committed follower of Jesus and be fully aligned with the mission, vision, and beliefs of International Scripture Ministries
3–5+ years of experience as an Executive Assistant, Operations Coordinator, or Project Coordinator
Proven ability to manage complex schedules, workflows, and confidential information
Excellent written and verbal communication skills
Strong time management and attention to detail
High comfort with technology and rapid learning of new systems

Preferred

Experience in publishing, communications, or content production
Familiarity with print, eBook, and audiobook workflows
Experience with publishing platforms listed above
Experience with KPI dashboards or analytics tracking
Proficiency in Google Workspace; Adobe Creative Suite a plus

Benefits

Paid Time Off: Full-time employees are eligible to receive 40 hours every four (4) months up to 120 hours a year. After three (3) years of employment, an additional one (1) week of vacation will be available, bringing the total to 160 hours per year.
Medical, Dental, and Vision (HMO/PPO): The Ministry pays for (99%) of the employee’s premium. Spouse and/or dependent insurance options are available.
Education Benefit: To encourage ongoing education, all full-time employees are eligible for an education credit/reimbursement.
Cell Phone Reimbursement: Full-time employees will be reimbursed for using personal phones for ministry business up to $60 monthly.
Community Volunteerism: We encourage our employees to be involved in their local communities, lending their voluntary support to programs that improve the quality of life. We offer up to eight (8) hours of paid time each quarter for volunteerism.
Health Incentive: Full-time employees receive a $50 monthly reimbursement for fitness classes and/or gym memberships.
