Enrollment Operations Analyst / Associate Director of Graduate Enrollment Operations

Responsibilities
Serves as the primary graduate admissions administrator for the Customer Relationship Management (CRM) software, Technolutions Slate
Designs, builds and maintains complex and interconnected systems to support recruitment efforts for graduate programs, including data workflows, communication flows, forms, application review funnels, and the infrastructure to support events and interviews
Equips and supports graduate recruiters, directors, and assistant directors in becoming responsible for managing their program funnels in the CRM
Establishes policies and procedures for the use of the CRM and admissions operations
Troubleshoots system issues, submits tickets on behalf of end users and requests focus calls from Slate
Collaborates with the Director of Graduate Admissions in the design and coordination of admissions email and SMS marketing
Advises the graduate program directors and assistant directors on the feasibility and design of new admissions processes, and trains them on various features of the CRM, to support their strategic enrollment goals
Serves as the primary liaison between graduate programs and Information Systems, ensuring that graduate and continuing studies programs are in compliance with university policy and are well coordinated with other university systems and processes
Pursues appropriate professional development opportunities and stays current in best practices related to data and communications management for adult and graduate program admissions
Serves as the graduate programs representative to the campus Technology Advisory Group (TAG) and Colleague Advisory Group
Ensures the integrity and accuracy of the university’s graduate admissions data and student records
Develops, implements, and oversees procedures to import data from internal and external sources, ensuring the accuracy and security of all data
Coordinates with third-party vendors (Liaison CAS, Credentials Solutions, Parchment, NES Pearson, etc.) to develop and manage efficient and accurate data transfer procedures
Performs data cleanup as necessary to ensure accuracy and relevancy of all CRM, Colleague, and PV documents
In coordination with the Business Office, devises systems and infrastructure to manage CRM payments for applications, events, and forms
Creates and maintains admission and enrollment reports and lists
Creates and modifies queries, reports, and lists via CRM, Informer, and other analytical tools
Generates and provides reporting information related to prospects, applicants, and students, in addition to custom reports required by specific departments
Collaborates with Information Systems and Institutional Research on enrollment data reporting
Maintains accuracy and relevancy of data, purging old data and reports
Develops and manages procedures for graduate admissions tracking and reporting to support the university’s operational and strategic enrollment goals
Creates and manages reports for tracking students through the admissions funnels for all graduate programs (including custom reports required by specific programs)
Creates and manages reports for tracking progress toward the university’s strategic enrollment targets for graduate programs
Builds queries, reports, and tools to provide relevant enrollment data to the Enrollment Operations team, Director of Graduate Admissions, Information Systems, and Institutional Research
Assist with special projects
Attend department meetings and gatherings
Other duties as assigned
Qualification
Required
Bachelor's degree, or an equivalent combination of education and relevant professional experience. Whitworth values a wide range of educational and professional pathways
1–3 years of experience in enrollment operations, admissions, higher education administration, CRM/system administration, data management, or a closely related field
Experience working with CRM systems (Slate strongly preferred; comparable systems considered)
Demonstrated ability to manage data accurately, build reports or queries, and support operational workflows
Exposure to higher education, admissions, or student-facing operations, particularly in a graduate, adult, or professional program environment
Experience supporting, training, or assisting users in system or process adoption
Bachelor's degree required; advanced coursework or graduate study in higher education, information systems, business, or a related field preferred
4–7+ years of progressively responsible experience in enrollment operations, admissions operations, CRM administration, or higher education systems leadership
Advanced experience administering Slate CRM or a comparable enterprise-level admissions system, including workflow design, communications, data integrations, and reporting
Demonstrated leadership in process improvement, systems strategy, or operational planning within an admissions or enrollment context
Significant experience collaborating with admissions leadership, program directors, IT, institutional research, and external vendors
Willingness and ability to work flexible office hours as needed
Strong organizational, time management, analytical, writing, editing, critical thinking, and problem-solving skills
Demonstrated ability to manage and analyze data accurately and efficiently
Proven competence in working with technology, with a high level of proficiency in personal computer applications, particularly Excel
Ability to complete detailed work accurately and efficiently in a fast-paced environment
Strong interpersonal skills, with the ability to work collaboratively and positively with colleagues, students, and the public
High level of personal integrity and professionalism
Willingness and demonstrated capacity to learn complex systems, processes, and institutional structures
Strong judgment, discretion, and professionalism in managing confidential student and institutional data
