Scheduling Specialist

Responsibilities

Schedule and coordinate patients for specialist in-office care; work with hospital and/or surgery centers block time and providers schedules
Verify patient eligibility/benefits/demographics and enroll in system
Coordinate with patients Primary Care Provider for Pre-Op study requirements
Ensure all referrals are obtained prior to surgery/procedure
Check in all patient appointments once they have arrived for care as well as closes the EPIC EMR encounters once the services have been completed. Sends any referral changes and insurance updates to Referral Coordinator
Send expired referral information to the appropriate Referral Coordinator to be extended
Maintain knowledge of computer scheduling functions using proper registration protocols with all new patients. Edit existing patient data as needed and utilize appropriate visit types
Review pre-visit instructions with patient in office and/or over the phone to ensure he/she is properly prepared for the visit. Communicate effectively with patients regarding changes in schedule, issues, and physician office concerns
One week prior to procedure, contact patient to ensure all necessary information, forms and procedure preparations are completed
One day before procedure/appointment, contact patient to confirm appointment and review any necessary instructions
Assemble information packets of medical group and their protocols; offer to patients after scheduling their procedure
Process specialist requests correctly and in a timely manner
Respond in a timely manner, to inquiries about medical group concerning insurance coverage, specialty providers, claim issues, disability questions, and general information
Work in conjunction with other departments to educate patients, physicians and staff about HMO and EPO protocols/benefits
Coordinate ambulatory care discharge activities requested by physician. Review and promote compliance with patient care plan
Document in patient chart in a timely manner
Obtain outside medical records/reports as required and provide to physician as needed
Perform any additional or miscellaneous duties as requested by the management team within the scope of knowledge and ability
Other duties as assigned

Qualification

Medical Terminology CertificateBLS for Healthcare ProviderAdministrative Medical Assisting CertificateCustomer ServiceComputer Proficiency

Required

Must have a minimum of 1 year of customer service in any field and have worked with computers
High School graduate or equivalent required
Current BLS for Healthcare Provider required

Preferred

Minimum one (1) year experience in medical field (Medical Assistant, Customer Service Representative, Front Office Assistant, or other) in ambulatory care preferred
Prior medical office experience preferred
Administrative Medical Assisting Certificate preferred
Medical Terminology Certificate preferred
