Government Administration
Responsibilities
Onboards, trains, and mentors all phone team staff
Monitors call volume, wait times, and service levels, ensuring adequate coverage during business hours
Develops and maintains the unit’s phone coverage schedule
Creates and updates reference and training materials for the phone team
Retrieves, processes, scans, labels, logs, and files all incoming paper mail in appropriate electronic folders
Serves as the designated backup for phone team operations
Responds to general and complex inquiries from applicants, licensees, and the public via telephone, email, or written correspondence. Provides accurate information regarding licensure processes, application status, and regulatory requirements. Refers inquiries to other Department units or external agencies when appropriate
Monitors, orders, organizes, and maintains office supplies and materials
Coordinates staff travel arrangements
Prepares and submits the quarterly Matrix report
Oversees the maintenance and replenishment of the unit’s SunPass account
Maintains accurate contact information for board members and office personnel
Serves as the emergency liaison for the Osteopathic Unit
Orders and distributes supplies; creates purchase orders for services as needed; and ensures timely payment of membership dues
Collaborates with the Executive Director to review bills, budget data, and purchasing documentation; performs Level 2 Purchasing Card approvals for the Board office
Utilizes MyFloridaMarketPlace (MFMP) and follows established purchasing procedures and policies
Assists in the development of reports and special projects
Coordinates with internal partners to ensure proper maintenance, repair, and surplus processing of office equipment
Maintains the office’s inventory records
Researches and prepares affidavits regarding non-receipt of Administrative Complaints for the Osteopathic/Massage Unit; provides affidavits to the Prosecution Services Unit for disciplinary case processing
Processes continuing education provider and course applications in CEBroker for the Boards of Acupuncture, Massage, Osteopathic Medicine, and Speech Language-Pathology and Audiology, and the Council of Licensed Midwifery
Assist with administrative duties related to the processing of CE applications, including but not limited to: reviewing application for completeness, issuing correspondence regarding application deficiencies, routing to board liaison, requesting information as needed and marking the board’s liaison’s decision in CE Broker as appropriate
Summarize and prepare CE Broker application files and supporting documentation for review by the board when appropriate
Assist with administrative duties related to the processing of applications including, but not limited to processing supplemental documentation, preparing supplemental documentation for scanning, and preparing refund forms
Analyze and recommend solutions to administrative problems relating to application deficiencies and required qualifications
Review phone team recordings to ensure customer service provided by phone team staff aligns with Department standards
Review and analyze phone data metrics, identify areas of improvement and recommend changes to internal processes and procedures based on the data analysis
Process applications in the licensing database (LEIDS), issue correspondence concerning application deficiencies to applicants in process or licensure to approved applicants
Performs other duties as assigned
Qualification
Required
Knowledge of the policies and procedures of the department
Ability to work under pressure and is computer literate
Ability to communicate effectively verbally and in writing
Knowledge of correct grammar usage
Ability to plan, organize and coordinate work activities
Knowledge of Word for Windows, Outlook and LEIDS
Preferred
High school diploma or equivalent and; 2 years administrative experience to include computer software, data entry, document preparation, and customer service
College education can substitute for the required experience on a year-for-year basis
