Enterprise AI Administrative Assistant

Responsibilities

Provides general administrative support, including coordinating meetings and appointments, planning events, ordering office supplies, maintaining files, and managing visitor credentials
Provides thorough calendar management, ensuring the right people are in each meeting, managing cadence to optimize leaders’ time, and gathering pre-read materials in advance
Coordinates domestic and international travel plans, including booking, scheduling in-person meetings, and managing expense reports
Assists in managing team collaboration tools such as SharePoint
Communicates and interacts effectively with leaders and employees across the organization
Always maintains the highest degree of confidentiality
Assists in preparing and proofreading presentation materials
Coordinates meetings, conference calls, and catering needs
Orders supplies and equipment as needed
Independently completes projects by gathering, organizing, and summarizing information into clear documentation
Maintains effective networks within the organization and with external stakeholders

Required

Proven experience in administrative support roles (5+ years minimum)
Strong organizational and multitasking skills
Proficiency in Microsoft Office Suite and enterprise systems (e.g., SAP, Workday, or similar)
Excellent communication and interpersonal skills. - Communicates in a clear, concise, and effective manner with internal and external customers
Ability to work independently and handle confidential information with discretion
Experience with e-billing and setting up vendors in payment system
Ability to problem solve and use good judgement in making decisions

Preferred

Experience with Chevron policies and procedures is required
Demonstrated commitment to Chevron Way behaviors, including integrity, trust, diversity, partnership, and high performance
10+ years' experience in administrative support roles
