Office Manager
Ohana Care Maui is Maui’s VIP In-Home Care Agency, dedicated to helping individuals live safely and comfortably at home. The Office Manager will oversee office operations, manage scheduling, onboarding, compliance, and ensure smooth day-to-day office flow to support care teams in providing exceptional client care.
Responsibilities
Run Office Operations: Filing, document control in WellSky/ClearCare & Dropbox; Manage DocuSign/PandaDoc workflows, Google Drive/Calendar and handle Intake Calls
Own Scheduling: Publish monthly schedules, handle changes, communicate with families and caregivers and log updates in the SUP (Supervisor) log
HR Admin & Onboarding: Screen/interview, check references, run orientations, track expirations (TB/CPR/Driver’s license/insurance) and maintain personnel files
Compliance & Audits: Perform regular client/employee file audits. Ensure HIPAA, DHS and all company policies are followed. Support State audits
Communication Oversight: Monitor voicemail, TigerConnect messages and email daily, route messages and keep leadership updated on issues/risks
Inventory & Facilities: Track PPE, uniforms, class materials, office supplies and report usage. Co-ordinate all mail and supplies
Marketing Coordination: Send weekly new-hire / new-client and termination updates to Marketing. Share headshots / information as needed
Client Care Coordination: Educate families/staff on scope-of-service restrictions. Support natural-disaster readiness and welfare checks
Qualification
Required
3+ years Office/Operations Management (healthcare/home care experience preferred)
Strong scheduling & workforce coordination skills, calm & even-keeled under pressure
Working knowledge of HIPAA and Hawaii DHS guidelines
Tech Confident: Apple savvy, WellSky / ClearCare (or similar EMR), Dropbox, DocuSign/PandaDoc, Google Workspace, TigerConnect
Clear, compassionate communicator with clients, families and team members
Ability to lift up to 50 lbs
Valid Hawaii driver's license and reliable transportation
Availability: Mon–Fri 8:00–5:30, plus occasional evenings/weekends/holidays for urgent needs & Health Fairs
Preferred
Home Care and CNA/NA background is a plus
Experience conducting training or leading orientations
