This role involves serving as the head administrative assistant to the Division Director and Deputy Director, managing communications, scheduling, and various administrative tasks.

Responsibilities

Coordinates communication and contact with Executive Directors and other board staff as it relates to the Division of Professions and the Department, which includes responses for the Governor, Secretary, and other department staff, ensuring that responses are prepared and completed in a timely manner
Serves as the division’s liaison for public records requests and ensures that requests are processed in a timely manner
Prepares purchase orders and processes invoices for payment for the Director’s office
Completes special projects, as assigned
Acts as the division’s continuity of operations plan (COOP) coordinator for the division. Maintains the master COOP and phone tree for the director’s office, board offices, Codes and Standards, and Bureau of Education and Testing
Maintains and updates training materials for division administrative assistants as well as onboarding for these new employees, ensuring processes are executed consistently within the board offices for P-cards, license verifications, purchase orders, and travel authorizations
Serves as the division’s contact for board member appointments. Maintains a database and weekly reports of board members for Professions
Performs other related duties, as assigned

Required

Must have a high school diploma or equivalent education and two (2) years of work experience
Knowledge of Word, Excel, Outlook, GovQA, and MyFloridaMarketPlace
Ability to communicate effectively both written and oral
Ability to organize and prioritize duties
Knowledge of department policies, rules, and procedures (purchasing, public records, and correspondence.)

Preferred

Two or more years using Microsoft Office Suite
Experience with preparing travel authorizations and travel reimbursements
Experience with purchasing and MyFloridaMarketPlace
