Responsibilities

Office Management: Organize and maintain office files, supplies, and equipment. Ensure the workspace is efficient and conducive to productivity
Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for the engineering, program management and sales teams
Communication: Serve as a point of contact for internal and external communications. Assist in drafting emails, memos, and reports, while managing interactions with our startup customers, maintaining professionalism and clarity
Document Preparation: Prepare and edit documents, presentations, and reports for team meetings and client presentations
Data Entry and Record Keeping: Maintain and update databases, track project timelines, and assist in the preparation of project documentation
Support Sales Activities: Assist the sales team in preparing proposals, responding to inquiries, and managing customer communications
Collaboration: Work closely with various departments to facilitate information flow and ensure timely completion of tasks

Required

Proven experience in an administrative role, supporting senior management
Strong organizational skills, with the ability to manage multiple tasks and priorities effectively
Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint, for creating documents and presentations
Experience with calendar management and travel coordination
Strong verbal and written communication skills

Preferred

3+ years of experience in an administrative support role
Attention to detail and a proactive approach to problem-solving
Ability to work independently and as part of a team
Familiarity with project management tools and techniques
Experience working in a fast-paced or start-up environment
Knowledge of aviation concepts and terms is a plus
