Administrative Assistant - Opportunity Youth Program

Middlesex College is seeking an Administrative Assistant for their Opportunity Youth Program. The role involves reviewing applications, preparing correspondence, and providing program information while supporting staff and maintaining records.

Responsibilities

Reviews applications, reports, and other documents for accuracy and completeness. Refers to supervisor when necessary
Opens, date stamps, and distributes mail
Prepares correspondence and reports
Completes paperwork as directed
Provides program information and eligibility requirements in person, over the phone and through e-mail
Supports staff of the Adult and Dislocated Workers Program, as well as the Opportunity Youth Program
Answers phone and distributes messages
Maintains mailing lists of participants and community partners
Assists with preparing and verifying youth payroll
Maintains records and files
Orders, stores, and distributes office supplies
Assists with proctoring Basic Skills tests
Utilizes electronic and manual recording systems
Performs other duties as assigned

Required

High school diploma or equivalent
Three (3) years of experience as an administrative assistant in a busy office
Proficiency in Microsoft Office (Word and Excel)
Driver's license and reliable transportation

Preferred

Associate degree
Ability to deal positively with a diverse population
Excellent phone and organizational skills; strong interpersonal and communication skills and the ability to make independent decisions
