Responsibilities
Warmly greets all guests, visitors, and team members as they enter the corporate office, creating a positive and welcoming first impression
Promptly answers and manages a multi-line phone system, directing calls to the appropriate person or department in a courteous and professional manner
Takes accurate messages and ensures timely delivery to office team members
Announces and escorts guests as needed and ensures visitors follow office sign-in procedures
Maintains front desk organization, cleanliness, and overall presentation
Updates and maintains internal contact lists, phone extensions, and office directories
Coordinates courier and delivery services, including scheduling pickups and tracking courier documentation for submission to accounting
Receives, sorts, and distributes mail and packages
Supports general front office administrative tasks as assigned
Assists with special projects or additional reception-related duties as business needs require
Qualification
Required
Minimum 3+ years of experience in a receptionist, front desk, administrative, customer service, or hospitality-focused role
Positive, patient, and professional demeanor with a strong guest-service mindset
Ability to efficiently operate a multi-line phone system
Exceptional verbal and written communication skills
Ability to communicate clearly, confidently, and courteously with guests and team members
Strong attention to detail and organizational skills
Ability to prioritize tasks, meet deadlines, and work with a sense of urgency
Ability to maintain confidentiality and professionalism at all times
Strong multitasking and time management skills
Proficient in Microsoft Word, Excel, Outlook, and Adobe
Ability to work independently while collaborating effectively with a team
