People and Culture Coordinator III-1
CareOregon is a healthcare organization seeking a People and Culture Coordinator III-1. Responsibilities
Provide operational support for employment services, such as new hire forms review, I-9 verifications, license and certification tracking, position description formatting, and more
Ensure work is done in alignment with internal procedures and/or external compliance regulations; lead development or review of team job aids
Perform data verification, including running routine to advanced audit reports and working with Centers of Excellence to ensure data quality and accuracy; assist in researching, correcting data, and collecting missing information and provides guidance to colleagues relating to data anomalies
Review Help Cases in Workday; regularly respond to routine to complex questions with minimal assistance; assign the most complex cases to colleagues, leadership, or Centers of Excellence as appropriate
Guide leaders and employees in where to find information or how to perform routine to advanced employment tasks
Review and respond to emails and phone calls; refer inquiries to other team members as needed
Coordinate leader and employee resources SharePoint or other storage locations with limited guidance
Collect new and/or update Help Case Articles in Workday, ensuring consistent formatting; provides input to content decisions
Maintain library of SOPs and Job Aids; work with Centers of Excellence for updates
Assist with coordinating policy reviews and updates; provide input into policies
Create routine to complex documents in Word, Excel, and PowerPoint
Schedule meetings, which may include room set-up and coordination of technology needs with IS
Organize, file, and maintain documents in accordance with department policies
May assist with making photocopies, scanning, and mailing; email documents to internal and external stakeholders
May assist in processing mail and ensure necessary office supplies are in stock
Perform other routine to complex administrative tasks as needed
Qualification
Required
Minimum 4 years' experience providing administrative or operational support, including minimum 3 years' experience in Human Resources
Proficient understanding of Human Resources functions and procedures
Proficient understanding of relevant compliance requirements/laws
Excellent communication skills, including verbal, written, and listening
Excellent customer service and interpersonal skills
Strong organizational and time management skills; high attention to detail
Proficient with Microsoft Office Suite; ability to quickly learn new systems
Ability to perform work using professionalism, sensitivity, and confidentiality
Ability to collaborate effectively with colleagues in a team environment
Ability to effectively apply critical thinking and problem-solving skills
Ability to work with minimal supervision and prioritize work
Ability to work effectively with diverse individuals and groups
Ability to learn, focus, understand, and evaluate information and determine appropriate actions
Ability to accept direction and feedback, as well as tolerate and manage stress
Ability to see, read, and perform repetitive finger and wrist movement for at least 6 hours/day
Ability to hear and speak clearly for at least 3-6 hours/day
Preferred
Experience providing administrative or operational support for four or more HR functions
