Responsibilities
Accurately receive stock into the in-transit inventory location by verifying the completeness and correctness of supplier invoices
Receive and log stock based on batch codes, where applicable, ensuring traceability and accuracy
Actively participate in year-end inventory processes and audits
Maintain continuous communication with warehouse personnel to ensure timely coordination of deliveries and inventory movements
Manually close any outstanding sales orders that have already been invoiced, ensuring system accuracy
Transfer goods from the in-transit location to warehouse location WHS01 upon confirmed arrival
Identify, report, and assist in resolving any discrepancies found during import movement reviews
Complete and monitor Supplier Claims related to shipment discrepancies, damages, or documentation issues
Update and correct batch code information within the Sage system when inconsistencies are reported
Generate and submit Stock Transfer Forms (STF) required for internal warehouse movements
Ensure that empty inventory locations are appropriately closed out in the system
Maintain the Shipment Tracker with high accuracy, recording critical data including:
Order type
Estimated Time of Departure (ETD) and Estimated Time of Arrival (ETA)
Bill of Lading (BOL) details
Volume and weight measurements
Delivery dates, number of pallets, and applicable tariff information
Liaise with freight forwarders to ensure all shipments are on schedule and possess required documentation, including ISF, dangerous goods declarations, and Bills of Lading
Provide B&L with comprehensive breakdowns of container contents, including invoices, packing lists, and relevant annotations
Assist in the preparation and submission of Letters of Instruction (LOIs) for outbound supplier shipments
Arrange domestic freight pickups for shipments governed by EXW or FCA Incoterms
Distribute updated versions of the shipment tracker to all relevant company departments and warehouse stakeholders
Monitor and maintain oversight of all inbound containers and inventory shipments
Conduct and manage stock transactions for Olkay (Essence Uruguay), ensuring proper entry and adjustment
Support the Logistics Manager with the preparation and analysis of tariff reports and regulatory documentation

Required
Meticulous attention to detail
Strong communication skills with freight forwarders and warehouses
Active management of shipment tracking systems
Experience handling international and domestic logistics processes
Knowledge of import/export procedures
Ability to verify the completeness and correctness of supplier invoices
Experience in year-end inventory processes and audits
Ability to maintain continuous communication with warehouse personnel
Experience in manually closing outstanding sales orders
Ability to identify and report discrepancies during import movement reviews
Experience in completing and monitoring Supplier Claims
