They are seeking a highly organized and detail-oriented Product Fulfillment Specialist to support the operational backbone of their Decoder Tax product, ensuring a smooth experience for customers and internal tax advisors.

Responsibilities
Manage customer scheduling logistics, including rescheduling discovery and tax review calls on behalf of Decoder Tax CPAs
Serve as a professional, customer-facing point of contact for administrative and support-related inquiries
Potentially handle inbound support calls related to scheduling, plan status, or next steps
Maintain delegate access to CPA email inboxes and manage administrative communications with accuracy and discretion
Prepare and organize materials for tax advisors ahead of discovery and review calls
Ensure customers and advisors have the correct documentation at the right time
Support the fulfillment workflow for Decoder Tax plans, including tracking progress, updating statuses, and coordinating handoffs
Work with offshore CPAs to coordinate inputs, timelines, and deliverables required to build Decoder Tax plans
Assist in exporting reports, tracking plan milestones, and ensuring completion accuracy
Partner closely with the Product Operations Manager to streamline workflows, reduce friction, and improve scalability
Perform accurate data entry and maintain clean, up-to-date records across systemsDocument administrative processes, SOPs, and workflows clearly and thoroughly
Educate internal teams on documented processes and help drive consistent adoption
Qualification
Required
4+ years of administrative support, operations, or customer service experience
Strong customer-facing communication skills (email, phone, and internal coordination)
Exceptional attention to detail and comfort handling sensitive information
Highly organized, reliable, and able to manage multiple workflows simultaneously
Comfortable working with email delegation, calendars, spreadsheets, and internal tools
Ability to follow structured processes while identifying opportunities to improve them
Preferred
Experience supporting professional services (tax, legal, financial, or consulting)
Familiarity with Salesforce, Google docs/sheets, and reporting exports
Experience coordinating with offshore or cross-functional teams
Interest in product operations, process design, or operational scaling
