Accounts Payable Specialist

The Accounts Payable Specialist is responsible for performing a range of accounting and clerical tasks related to the accounts payable function, including processing invoices and payments, and maintaining vendor relationships.

Responsibilities
Process outgoing payments in compliance with financial policies and procedures
Scanning, attaching, coding, and posting vendor invoices into the accounting system with a high degree of accuracy, while conforming to tight deadlines
Ensuring all invoices have proper project numbers and authorization before payment is made
Strengthen and grow relationships with vendors and suppliers
Create and post payable voucher in accounting system for both materials and outsourced services
Create positive payment file formatting into excel spreadsheet for check payments and/or process weekly check run to vendors
Clear wire and ACH invoice payments in IFS once treasury has sent payment funds
Act as first point of contact for resolving vendor issues for material and outsourced services
Research receiving and purchasing discrepancies and work with other team to resolve
Protect organization’s value by keeping information confidential
Reconcile venders’ monthly statements and related transactions
Audit and process company credit card statements
Read, analyze, and interpret financial reports and other related documentation
Maintain a 'Good Received Not Invoiced' list
Update job cost reports for late vendor invoices
Assist with month-end accrual for items not on purchase orders
Responsible for all 1099 reporting
Perform other duties as assigned
Qualification
Required
High School Diploma required
Minimum of three years of experience in an accounting position
Can interpret financial data contained in reports and ledgers
Performs day-to-day administrative tasks such as maintaining information files and processing paperwork
Work in a high energy, high volume, rapidly changing environment
Takes personal responsibility for the quality and timeliness of work to achieve results
Achieves thoroughness and accuracy when accomplishing a task through concern for all the areas involved
Clear and effective communication skills in both written and spoken forms
Understands how to use the computers, including such tasks as turning the computer on and off, locating and opening files, navigate to websites, perform searches, and download files
Knowledge of computer applications including email, databases, word-processing program and spreadsheets (such as Microsoft Office)
Provides excellent service to internal and external customers
Ensures that decisions are made based on policies, rules and organizational directives to solve emerging problems
Maintains confidentiality while processing and handling confidential information with discretion
Can handle frequent interruptions and can multi-task
Works effectively with different levels of management, team members and customers
Preferred
Bachelor's Degree in accounting or related field preferred
Experience with IFS preferred
