Responsibilities
Manage complex calendars for multiple executives, including scheduling meetings across time zones
Coordinate domestic and occasional international travel, including detailed itineraries
Serve as a liaison between executives and internal/external stakeholders
Handle executive correspondence, emails, and calls with professionalism and discretion
Prepare meeting materials, agendas, and presentations
Process and reconcile expense reports, ensuring accuracy and policy compliance
Maintain organized records, files, and confidential documents
Support special projects, research, and ad hoc initiatives as needed
Anticipate executive needs and help prioritize workload to improve efficiency
Qualification
Required
5+ years of experience supporting senior-level or C-suite executives
Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Proven ability to manage heavy calendaring for 2–3 executives
Excellent communication, organization, and time-management skills
Ability to work independently and handle sensitive information with discretion
Preferred
Experience with expense management and travel booking platforms (Concur preferred)
Financial services or RIA experience is a plus
