Front Desk & Office Operations Coordinator
BWE, Inc. is seeking a full-time Front Desk & Office Operations Coordinator to create a positive experience for guests and team members. In this role, you will manage incoming calls, greet visitors, and provide administrative support while ensuring the office operates smoothly.

Responsibilities
Serve as the first point of contact by managing incoming calls, welcoming guests, and handling incoming and outgoing mail and shipments
Provide administrative support to the Director of Operations and Director of Marketing as needed
Coordinate and assist with planning internal office events, team outings, and activities
Maintain and stock common areas, including the lobby, kitchen, and conference rooms
Manage office supply inventory and place orders as necessary
Prepare conference rooms for meetings and arrange catering when requested
Schedule meetings, maintain conference room calendars, and update employee phone directories
Act as the primary liaison with building property management
Oversee relationships with office vendors and manage contracts for services such as cleaning, office equipment, supplies, shredding, and storage
Perform light data entry tasks
Handle various office-related errands to support daily operations
Entering, updating, and maintaining accurate records within the firm’s CRM system
Supporting creative initiatives, including internal advertisements and basic graphic production
Assisting with social media campaign execution and day-to-day account management
Implementing routine updates and content changes to the firm’s website
Capturing and editing photographs for internal and external use
Monitoring inventory levels and assisting with budget adherence
Supporting onboarding efforts, including preparation for new hires and welcoming new team members
Qualification
Required
Minimum of 3 years of experience in an administrative assistant, front desk/receptionist, or similar role
Proficiency in Microsoft Office Suite and Adobe Acrobat
Consistent and reliable in-office attendance
Strong written and verbal communication skills
Strong attention to detail, with ability to maintain consistent work quality and productivity
Positive, professional attitude with a customer-service mindset
Hands-on experience with office phones and equipment (e.g., postage machines, printers, copiers)
Valid driver's license
High school diploma required
Preferred
Experience working in the Architecture, Engineering, and/or Construction (AEC) Industry
Digital marketing experience and/or interest
Graphic design skills and experience
Familiarity with software such as Deltek, UC Suite, Unanet, and Adobe Suite
Event planning experience for internal and external events
