Assistant Director for Admission Operations

Illinois Institute of Technology is seeking an Assistant Director for Admission Operations to provide leadership and oversight for the evaluation, processing, and management of undergraduate admission applications. Responsibilities

Reviews and makes admission decisions for undergraduate degree-seeking, non-degree, and special program applicants
Evaluates complex cases, special program applications, and scholarship applications requiring advanced judgment
Serves as an active member of the Admissions Committee, contributing to final decision-making, policy interpretation, and exception reviews
Applies institutional admissions policies consistently while exercising discretion in nuanced or escalated cases
Supports peak-volume periods by assisting with direct application review as needed
Manages end to end application workflows from receipt through decision release and matriculation
Allocates application batches and monitors processing timelines to meet enrollment and service level goals in coordination with the Senior Director
Provides operational oversight and hands on support to admissions processing teams during peak cycles
Identifies workflow bottlenecks or inefficiencies and implements process improvements
Ensures compliance with institutional, accreditation, and legal requirements related to admissions processing
Ensures data integrity between the Admissions CRM and the Student Information System (SIS), including oversight of imports, exports, error resolution, and duplicate management
Serves as a functional expert in the admissions CRM, supporting workflow configuration, query development, and reporting
Partners with IT, Registrar, and Enrollment Management to manage system updates, academic program changes, and data governance standards
Monitors admissions processing and enrollment metrics, analyzing trends and recommending operational improvements
Develops and maintains documentation related to admissions systems processes and data standards
Co-Leads onboarding, training, and ongoing development of admissions operations and recruitment staff, seasonal readers, and student employees
Supervises work assignments, provides feedback, and ensures consistent application of admissions standards
Serves on the department leadership team, offering operational and systems expertise to support policy and process development
Acts as a liaison with academic departments and campus partners regarding admissions requirements, program changes, and operational impacts
Provides high level customer service to internal and external stakeholders, managing expectations and resolving escalated issues

Required

Excellent verbal, written, and interpersonal communication skills

Ability to manage expectations, exercise discretion, and apply sensitivity when working with confidential information
Proven skills in collaboration, responsiveness, and relationship building
A minimum bachelor's degree is required
2 to 3 years of experience in admissions and application processing, school admissions, and/or other customer service organizations is required
Experience working CRM application management processes and systems including but not limited to Slate, Terra Dotta, and ERPs, including Banner for an educational institution
This position will require a flexible work schedule, including some nights and weekends, and the willingness to travel on an occasional basis
Proven ability to work independently, excellent communication and presentation skills, sensitivity and responsiveness to the needs of diverse constituencies, and managing goals
Ability to multi-task and handle a wide variety of job duties and prioritize based on supervisory direction
The candidate will need to be proficient with the Microsoft Office suite
