Responsibilities

Greeting – greet all guests warmly and professionally, answering questions or directing individuals to the appropriate resource; in person, phone and voicemail
Mail - Open and distribute mail
Deliveries- coordinating deliveries and notifying staff and ensuring timely communication and deliver of items
Supplies – Order and maintain all building supplies
Ensure overall cleanliness, appearance and organization of the facility, including overseeing the cleaning contract, ensuring appropriate housekeeping performance as well as performing some light touch-up and supply refreshing
Ensure exterior building services are performed and the associated contracts are in place for the office
Order Flowers
Logowear- Order company logowear, store, organize, distribute and track
Maintain updated company contact lists and distribute as new versions are created
Landlord Verifications and CRP’s
Assist with shredding, filing, scanning and other projects as needed
Evaluate and ask relevant questions about cost-effectiveness throughout the course of your responsibilities to help ensure financial efficiency in the facility's operations
Office Equipment, security system, technology- Oversee supplies, service contracts, and contact providers for service and cleaning as needed
Employee Admin- Ensure new employees have the equipment needed in their workstation, setting up company phone & email and disabling upon departure
Meeting Scheduling and Event Planning
Event Preparation- A variety of items included in event preparation including but not limited to making lists, labels, name tags, decorations, sending calendar invites, ordering meals, set-up and shopping

Required

3-5 years experience in an administrative role, with preference given to property management and office management experience
Ability to speak, write and effectively communicate in English
Excellent organizational skills
Excellent interpersonal skills, interacting effectively with residents, owners, vendors and team members
Strong Microsoft Office skills- Word, Excel, Outlook
A proactive and solution-oriented approach to problem-solving
Ability to work independently as well as in a team environment
Ability to be at work when scheduled and arrive in a timely manner
Ability to sit, bend, stand, walk and reach regularly
Ability to lift 20 pounds occasionally, 10 pounds regularly
Thorough knowledge of job hazards and applicable safety precautions to complete work in the safest manner possible
