Enterprise Asset Management Coordinator (4.26)

Responsibilities
Reviews, approves, cancels, creates, and maintains work orders in Cityworks to ensure accuracy, completeness, and prioritization
Performs detailed work planning, including development of work packages with task lists, resource requirements, permits, Bill of Materials (BOMs), and safety/environmental considerations
Assist the Superintendents in facilitating the daily Plan of the Day (POD) meetings to review open work orders and coordinate district priorities
Oversees and maintains backlog, ensuring the highest priority work is scheduled; reports backlog health and trends monthly to the Enterprise Asset Management Manager
Coordinates preventative maintenance (PM) and predictive maintenance (PdM) work orders; update task lists and maintenance plans to ensure accuracy
Assists the Enterprise Asset Management Specialist in conducting field walkdowns for horizontal and vertical asset work to confirm scope, validate asset data, and build complete work packages
Assigns estimated hours to work orders and resource requirements to Operators during scheduling
Ensures proper closeout of work orders, including completeness of documentation, labor charges, cause codes, and feedback for continuous improvement
Participates in rework reviews; approve or cancel rework orders according to company policy
Supports adherence to regulatory compliance requirements with Lock-Out/Tag-Out (LOTO) procedures, safety standards, and company maintenance policies
Qualification
Required
High School Diploma or equivalent
Certification and relevant experience in maintenance planning, scheduling, or asset management, preferably within utilities or other asset-intensive industries of either: 1 year of experience plus a level Grade D2 or T2 in the California Drinking Water Operator Certification Program OR 3 years of experience plus a level Grade D1 or T1 in the California Drinking Water Operator Certification Program
Working knowledge of maintenance management principles, work order management, and backlog practices
Experience with work management processes; Cityworks system experience strongly preferred
Strong organizational skills with ability to manage multiple work orders, schedules, and priorities
Effective communication and interpersonal skills, with ability to collaborate across operations, engineering, and craft personnel
Knowledge of preventive and predictive maintenance strategies and associated permitting requirements (LOTO, confined space, hot work, etc.)
Proficiency in Microsoft Office Suite; GIS familiarity a plus
