Responsibilities

Proactively anticipate and provide administrative support to the Sr. Director and entire department
Manage and coordinate daily calendar, scheduling meetings, appointments and resolving conflicts across multiple time zones
Work closely with and provide back up to Executive Assistant
Handle all travel aspects of domestic and international travel for staff, including booking flights, hotel accommodation, ground transportation, completing expense reports and creating detailed itineraries
Need detail-oriented and highly proactive visitor coordination to oversee end-to-end planning and execution of all internal and external company events, with a critical focus on coordinating visits by foreign dignitaries, partners, and employees
Coordinates, tracks, and reports on the progress of projects and work assignments. Tracking action items, disseminating information, following up, helping to ensure accountability
Will be the focal point for communication and responding to routine verbal and written requests for information from internal sources
Prepares requested electronic and hard copy reports, and presentations
Handle Onboarding of new employees, this includes ensuring equipment, space, schedules and all resources are ready on first day
May make internal staff presentations
Ability to travel between GA facilities is required
Responsible for observing all laws, regulations, and other applicable obligations wherever and whenever business is conducted on behalf of the Company
Expected to work in a safe manner in accordance with established operating procedures and practices

Required

Typically requires a high school diploma and two or more years of office administration experience, including experience supporting a management position. Equivalent experience may be substituted in lieu of education
Must demonstrate considerable knowledge of assigned functional area principles, theories and concepts
Ability to work both independently and in a team environment is essential
The ability to work extended hours as required
Ability to obtain and maintain a DoD security clearance is required
Must possess: The ability to grasp new concepts quickly
The ability to maintain the confidentiality of sensitive information
Strong organization skills and the ability to establish priorities
The ability to identify issues, solve and respond to routine problems or situations that require interpretation
Strong analytical, interpersonal, verbal and written communication skills to accurately document, report, interpret and explain moderately complex information as well as the ability to communicate and interface effectively with all levels of personnel, including management, customers and vendors
Practical understanding of applicable policies and procedures as well as relevant regulations
Considerable knowledge of computer operations and applications

Preferred

Advanced user experience of MS applications including Outlook and MS Teams
Experience booking travel and experience processing expense reports utilizing an expense report system
Possess excellent written and communication skills
