They are seeking an Executive Assistant to provide administrative support to the COO, SVP, and CSO, manage communications, coordinate budget activities, and facilitate interdepartmental coordination.

Responsibilities
Assist in managing communication of the COO, SVP, CSO including coordinating calendars, emails, phone calls and in person meetings as needed, maintaining confidentiality as appropriate
Maintain high-level understanding of interdepartmental processes to assist in facilitating appropriate communication
Coordinate budget activity through tracking, reconciling and processing: payment requests, credit card purchases, reimbursement claims and budget reports
Prepare slides in Google Slides, PowerPoint, or Canva for the COO, SVP, CSO
Provide daily, weekly and monthly follow up to ensure priorities are delivered on time
Arrange travel and accommodations for executives
Schedule and attend meetings taking notes and recording minutes
Help prepare for meetings
Provide personal assistant support for the COO, SVP, CSO such as but not limited to: Getting meals, Running errands, Performing personal errands
Provide general administrative support
Perform other tasks as may be necessary to facilitate the work of the COO, SVP, CSO
Qualification
Required
Proven experience as an executive assistant or other relevant administrative support experience
Ability to prioritize time and handle a fast pace environment
Microsoft 365 Suite (Word, Excel, Powerpoint)
Basic understanding of G-Suite applications (Google Docs, Google Slides, Google Sheets)
Minimum: High school diploma
Ability to organize a daily workload by priorities
A proactive approach to problem-solving with strong decision-making skills
Professional level verbal and written communications skills
Active Drivers License
