Meeting & Events Coordinator

Aegon is seeking a Meeting & Events Coordinator to provide meeting and event support for the department through various tasks. The role involves maintaining supplies inventory, assisting in the preparation of materials, managing documents, and coordinating tradeshows and events.

Responsibilities

Assist in the preparation and distribution of department printed and digital materials
Maintain department team supplies/kit/signage inventory by evaluating inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
Ensure quality of department team supplies/kit/signage by completing preventive maintenance requirements, coordinating repairs, maintaining calendars/inventories, evaluating new equipment and techniques
Manage department master documents
Generate reports. Process department’s invoices
Record expenses and maintain budgets for areas of responsibility
Manage, coordinate, and complete requirements for tradeshows including booth coordination/shipment, materials/giveaways, signage, etc
Work closely with business owners to determine requirements for each tradeshow and provide comprehensive communication to owners and traveling teams regarding arrangements
Coordinate shipping/receiving materials and monitoring department related inventory and storage
Handle sensitive information in a confidential manner

Required

Bachelor's degree in a relevant field or equivalent work experience
PC proficiency, including email, routine database activity, spreadsheets, etc
Strong interpersonal skills and the ability to work with diverse personalities in a tactful and flexible manner
Good reasoning skills and sound judgement
Ability to handle multiple projects and meet deadlines
