Finance and Operations Coordinator
The University of Memphis is a leading, student-centered, urban public R1 research institution. The Finance and Operations Coordinator will support the financial, administrative, and compliance functions of the organization, ensuring smooth daily operations and adherence to university, state, and federal requirements.

Responsibilities
Assists with annual audit preparation, including schedules, documentation, and coordination with external auditors
Prepares and reviews financial statements, management analyses, and the organization’s annual IRS Form 990
Manages payments, deposits, and cash reconciliations; monitors budgets and track invoices
Prepares the annual operating budget and support monthly financial reporting
Records and reconciles investment activity, patent capitalization, and royalty distributions
Supports equity management and ensure timely insurance and subscription renewals
Coordinates board meetings, including agenda preparation, meeting materials, and minutes
Tracks board member terms, officer appointments, and conflict of interest disclosures
Maintains official records, board rosters, and communications regarding appointments and resignations
Prepares and updates new board member materials
Tracks research project budgets, revenues, and UMRF management fees
Processes invoices, confirm payment accuracy, and record receivables from sponsors
Maintains license and royalty agreement records; process distributions in compliance with policy
Liaises with the Office of Technology Transfer regarding royalties and patent-related expenditures
Responsible for updating/reporting in the intellectual property database (Inteum)
Monitors tenant leases, rent collections, and bank transfers for the Research Park
Prepares financial summaries and meeting agendas for research park operations
Tracks loans and repayments related to venture funding
Ensures all required state filings and tax exemptions are maintained and submitted on time
Provides W-9 forms, certificates, and other compliance documents to vendors and sponsors as needed
Other Duties as Assigned
Qualification
Required
Bachelor's degree in accounting, finance, business administration, or a related field
2–3 years of professional experience in financial administration, university operations, or nonprofit accounting preferred
Proficiency in Excel a plus
Strong organizational and analytical skills, with attention to accuracy and deadlines
Must be willing to learn QuickBooks, and Oracle
Excellent communication and documentation skills
