Administrative Assistant, Travel Coordinator

Responsibilities

Process all domestic travel authorizations and vouchers through ConcurGov for DEO leadership and staff
Submit and manage international travel requests through the Global Travel System (GTS)
Provide real-time troubleshooting and resolution of travel issues, including overseas travel disruptions
Coordinate and manage travel for the DEO Director and Deputy Director, who travel 3–5 times per month
Provide travel guidance and coordination to branch leads and employees traveling internationally
Maintain and manage the DEO Director’s calendar
Schedule meetings, briefings, and leadership engagements
Coordinate logistics for leadership and branch meetings
Support branch leads with scheduling and administrative needs
Process and track Undelivered Obligations (UDO) and support quarterly financial reviews
Submit and manage CCPS purchase card orders
Process and track training requests through the Vendor Supplied Training System (VSTS)
Generate administrative, financial, and operational reports as required
Prepare correspondence, reports, and internal documentation
Maintain electronic and physical filing systems
Coordinate meetings and prepare materials
Provide high-level administrative support to DEO leadership and staff
Handle sensitive information with discretion and professionalism

Required

An active Public Trust or the ability to obtain a Public Trust is required for consideration
Associate's degree required; Bachelor's degree preferred
Minimum 4 years of administrative or executive support experience, preferably in a federal, government contracting, or high-volume environment
Demonstrated experience supporting senior leadership
Hands-on experience with federal systems, including: ConcurGov, Global Travel System (GTS), CCPS or government purchase card systems, UDO tracking or financial reconciliation, Vendor Supplied Training System (VSTS)
Strong ability to manage multiple priorities, deadlines, and urgent requests
Ability to work independently and resolve problems without constant supervision
Excellent written and verbal communication skills
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Must pass the pre-employment qualifications of Cherokee Federal
