Project Coordinator - Supply Chain

Grant County Public Utility District is seeking a Project Coordinator for their Supply Chain department. This role involves providing support for material management tasks across various business units and ensuring the flow of materials from planning through project close-out.

Responsibilities

At the direction of engineering, commits/orders stock materials in the District’s Enterprise Resource Planning (ERP) system based on the Engineering Bill of Materials or other approved Engineering documents
Monitors stock levels of material commitments and any necessary re-commitments in District ERP system
Assists in developing material contracts
At the direction and coordination of engineering, initiates non-stock purchase order requests to Procurement
Tracks all open material orders (stock and non-stock) and ensures accurate documentation throughout the project lifecycle
Monitors order progress and analyzes schedule impacts, providing timely updates and reports to project teams
Assists in expediting materials by coordinating with vendors, internal departments, Project Manager, and Engineer to address risks, delays, or supply issues
Maintains tracking of transmission and distribution related materials and their current lead times through routine coordination with utility distributors and other utility supply chain organizations
Supports project manager to mitigate risks by preventing project delays, proactively securing accurate materials and resolving shortages and/or ordering errors
Travels to job sites to verify material deliveries and coordinates staging plans with GCPUD Inspectors and Warehouse Area Foremen
Collaborates with Warehouse and Engineering teams to resolve issues related to damaged or incorrectly shipped materials
Communicates with Procurement regarding urgent materials identified in buyers’ lists
Monitors overdue materials and coordinates with Procurement to update required delivery dates as needed
Submits stock requests, as directed by Engineering, when adding new materials or updating existing ones, coordinating with Standards when applicable
Coordinates with Warehouse Operations, Project Managers, and other PUD departments to identify and secure appropriate onsite or offsite storage locations for project materials, including use of non-PUD facilities when necessary
Ensures all delivered materials are properly labeled, staged, and stored according to project requirements
Collaborates with Warehouse, Transportation, and contractors to address specialized material-handling needs, return unused materials, and reassign non-stock items to future capital projects
Coordinates with the labor contractor to hand off materials
Reviews and identifies like materials and ensures that they are consistently classified the same across all District warehouse facilities
Assists engineering and other key PUD stakeholders in developing material standards templates and ensuring standards for active construction projects are current and updated when manufacturer information changes
Communicates with Engineering to update drawings for future projects
Demonstrated commitment to Grant PUD’s mission, vision, values, and strategic plan. The incumbent should be familiar with these organizational priorities and behave in a way that aligns with these expectations
Understand and adhere to compliance requirements for this position that may include laws, regulations, security guidelines, Grant PUD policies & procedures

Required

Associate degree in project management, general business management, or other relevant field OR 1 additional year of relevant experience in lieu of degree
2 years' experience in project coordination, materials management, or supply chain field, or similar field of work

Preferred

Experience in materials management within transmission and distribution electrical systems
PMP Certification
