HR / Onboarding Specialist

The HR / Onboarding Specialist will manage the full onboarding lifecycle, ensuring new hires have a compliant and welcoming start while supporting compliance projects and the implementation of a new HRIS system.

Responsibilities

Serve as the primary point of contact for new hires from offer acceptance through first day of work
Coordinate the full onboarding lifecycle for high-volume QSR hiring across multiple locations
Partner with Recruiting, Operations, Payroll, IT, and HR to align start dates, access, and readiness
Ensure accurate and timely completion of I-9 forms and pre-employment requirements
Maintain compliance with federal and state employment regulations
Audit onboarding files regularly for accuracy and compliance
Support ongoing compliance projects related to onboarding, documentation, and employment eligibility
Maintain accurate employee records in the HRIS, including start dates, job titles, pay rates, documents, and certifications
Support the implementation of a new HRIS system, including data cleanup, testing, training support, and process alignment
Provide onboarding status updates and reporting to HR leadership and hiring managers
Support offboarding processes, ensuring documentation accuracy and system updates
Partner with Payroll, Benefits and HR to ensure clean employee record closures

Required

Bilingual in English and Spanish
3+ years of experience in onboarding, HR operations, or a similar role
Demonstrated experience with I-9, E-Verify, and onboarding compliance
Strong understanding of pre-employment and onboarding best practices
Proficiency with HRIS systems and digital onboarding tools
Exceptional organization and time-management skills
Strong attention to detail and documentation accuracy
Ability to manage confidential information with discretion
Excellent communication and interpersonal skills
Ability to work collaboratively with operations and field leadership
Strong problem-solving and critical-thinking abilities

Preferred

Experience working in high-volume hiring environments (QSR, retail, hospitality, or similar preferred)
