Responsibilities
Maintain and update Asana projects, templates, and fields to keep workflows running smoothly
Manage routine configuration tasks (e.g., task structures, custom fields, views, simple automations, permissions)
Monitor dashboards and reports, flagging risks, bottlenecks, or data quality issues
Partner with internal stakeholders and vendors to log, track, and follow through on configuration requests
Coordinate timelines, meetings, and action items across multiple workstreams
Help keep projects on track by updating schedules, maintaining RAID logs, and following up on dependencies
Support light PMO activities such as status reporting, meeting notes, and communication cadences
Provide consistent operational support to ensure teams follow agreed workflows and governance
Serve as a friendly first point of contact for tool/process questions
Draft clear updates for stakeholders (weekly status, project reminders, adoption tips)
Support onboarding and basic training for new users to help reinforce Asana as the system of record
Qualification
Required
2–5 years of experience in project coordination, PMO support, operations, or production management (market research or life sciences exposure is a plus, not required)
Hands-on comfort using Asana (or similar tools like Smartsheet, Monday.com, Jira)
Strong organization and follow-through, with attention to detail
Excellent communication skills— you can summarize progress, ask good questions, and keep stakeholders aligned
A learning mindset and ability to pick up new processes/tools quickly
Collaborative, proactive, and reliable in a fast-moving, production-style environment
