Records & Transcript Analyst
Texas Wesleyan University is seeking a Records & Transcript Analyst responsible for processing and releasing official academic transcripts, maintaining student records, and ensuring compliance with regulations. Responsibilities
Process official transcript requests in accordance with institutional policy, FERPA, and established turnaround times
Verify student identity, holds, academic history, and degree posting prior to transcript release
Respond to transcript inquiries from students, alumni, faculty, employers, licensing agencies, and third-party vendors
Resolve transcript discrepancies and escalate complex issues as appropriate
Scans, links and retrieves documents, files, records and reports in the Perceptive Content database
Maintain and update enrollment verifications both electronically and in paper form
Ensure accuracy of records in the Student Information System (SIS)
Identify and resolve enrollment/degree discrepancies in collaboration with Registrar leadership

Maintain strict compliance with FERPA, institutional policies, and applicable federal and state regulations
Ensure data accuracy to support audits, accreditation, and regulatory reporting
Maintain confidentiality and professionalism when handling sensitive student information
Provide accurate, courteous, and professional service to students, faculty, staff, and external stakeholders
Collaborate with Admissions, Financial Aid, Academic Affairs, and other campus partners to resolve student record issues
Communicate clearly regarding timelines, policies, and resolution of record-related matters
Works closely with the Records Management Coordinator to ensure records retention schedule is maintained
Participate in new student registration and graduation events
Other special projects assigned by the University Registrar
Qualification
Required
Associate Degree or minimum of 30 college-level credits
Demonstrated attention to detail and accuracy in records processing or administrative work
Ability to interpret and apply policies, procedures, and deadlines
Strong written and verbal communication skills
Ability to manage multiple tasks, meet deadlines, and work independently in a fast-paced environment
Proficiency with standard office software and database systems
1-3 (one to three) years office experience required, preferably within a higher education environment
Knowledge of proficient use of a multi-line phone system and standard office equipment
Ability to type 50 wpm
Knowledge of standard office practices and procedures, including electronic indexing
Ability to schedule and coordinate appointments
Demonstrated proficiency with a desktop computer as well as an integrated computer system
Demonstrated proficiency with current word processing, e-mail and spreadsheet software programs
Ability to be discrete in handling confidential matters, while complying with FERPA & privacy regulations
Ability to work independently in the most efficient manner with minimum supervision
Ability to handle multiple tasks while maintaining a high attention for details
Comparable organizational skills to work productively and efficiently in a high traffic office
Ability to maintain a professional appearance and office atmosphere
Ability to relate well to a diverse group of individuals
Knowledge of and the ability to support and adhere to University and office policies and procedures
Ability to maintain a positive attitude and good judgment under pressure
Ability to provide and demonstrate quality customer service
Ability to work effectively with a wide range of constituencies in a diverse community
Proven interpersonal skills to provide support in a high-profile office with tact and diplomacy
Ability to plan, prioritize tasks and meet deadlines while working on multiple tasks

Ability to effectively present information in one-on-one and small group situations to students, employers and other University employees

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions
Ability to deal with problems involving a few concrete variables in standardized situations
Experience in managing a workload including multiple projects and production schedules required
Demonstrated ability to work well under pressure and to consistently meet deadlines while maintaining a high attention for details
Ability to explain technical aspects of system to those whom have limited technical knowledge
Ability to work individually and within a team environment
Ability to complete all physical tasks as needed
Preferred
Bachelor's degree from a regionally accredited institution
Previous experience utilizing Ellucian Colleague student module and Perceptive Content imaging system desired
