Aging Services Administrative Assistant (15 hours a week-flexible!)
Gateways Community Services is dedicated to supporting the aging population, and they are seeking an Aging Services Administrative Assistant to manage administrative tasks for their programs. The role involves data entry, document management, and effective communication with clients and team members.

Responsibilities
Data entry into data systems and excel tracking tools
Monitoring expiry dates and ensure documents are renewed prior to expiry
Mailings and emails
Prepping and printing of documents
Communicating effectively and efficiently with team and agency members
Phone calls
Client/ Family Interaction
Data entry of all client care plan expiry, renewals, and amendments
Monitoring and documenting renewals for compliance 30 days prior to expiry
Accuracy in data management
Prepping, printing , emailing, scanning, or mailing documentation as needed for clients
Preparing New Client packets and onboarding needs
Ensuring data management systems are updated and accurate at all times
Uploading to document management systems
Calling, emailing, faxing physician offices for required paperwork
Preparing authorization information for authorization renewals
Participation in department staff meeting and strategic goals
Calling guardians , clients, or Power of Attorneys for needed signatures and documentation
Occasional client engagement and support onsite at Gateways Adult Day Center
Working collaboratively with team and agency members
Remaining flexible in learning tasks and processed to be efficient and deliver the best product available
Qualification
Required
2-5 years of administrative experience
Advance knowledge of Excel and Microsoft Office software
Data entry into data systems and excel tracking tools
Monitoring expiry dates and ensure documents are renewed prior to expiry

Communicating effectively and efficiently with team and agency members

Frequent sitting, minimum of 5 hours per day
Occasional walking, bending, and twisting of spine
Light lifting and carrying, less than 30 lbs
Visual acuity-worker is required to have close visual acuity to perform job functions
