Administrative Operations Manager
Vets Choice Radiology is a veterinary teleradiology organization seeking a proactive and highly organized Project Manager to assist with Operations & People Coordination. The role involves supporting leadership, enhancing operational effectiveness, and driving execution across the organization.
Responsibilities
Coordinate and manage cross‑functional initiatives supporting operational growth, workflow improvements, and delivery excellence
Maintain project plans, timelines, milestones, and risk trackers
Gather updates from radiologists, operational leaders, and internal stakeholders
Identify, develop and adopt PM tools and capabilities and workflows
Identify bottlenecks or process gaps and escalate or resolve proactively
Coordinate leadership meetings, agendas, documentation, and notes
Track decisions, owners, and follow‑ups
Plan logistics for leadership offsites, radiologist meetings, and events
Support communication flows and structured updates
Support onboarding/offboarding for employees and 1099 independent contractors
Maintain people files, contractor agreements, compliance documents
Support tracking contract terms, renewals, and credentialing
Act as a coordination point for HR‑related inquiries
Assist with payroll and contractor payment workflows
Maintain organizational charts to support leadership
Support leadership by gathering and organizing operational data from ops teams, and internal systems to inform KPI tracking and business performance reporting
Assist in updating dashboards, reports, and presentations by compiling metrics such as turnaround times, SLAs, case volumes, and staffing data for leadership and board‑related needs
Coordinate cross‑team inputs to ensure accurate and timely data that supports leadership decision‑making
Provide logistical and administrative support across operational workflows, including coordinating system access, assisting with basic workflow troubleshooting, and partnering with teams to resolve simple operational blockers
Contribute to special projects supporting operational process improvements and leadership initiatives, helping track tasks, timelines, and follow‑ups
Maintain confidentiality and use sound judgment when handling sensitive operational, performance, or organizational information
Qualification
Required
3–6 years experience in operations, HR, or project coordination
Strong project management skills
Excellent organizational and communication abilities
Comfortable engaging with clinicians and technical experts
Familiarity with Microsoft Office, PM tools, and HR systems
Preferred
Experience in healthcare or veterinary settings preferred
