Responsibilities
Process high-volume vendor invoices (approximately 1,000–1,200 per month)
Match invoices to purchase orders and ensure proper approvals are obtained
Allocate expenses across multiple locations so costs are reflected accurately on each location’s P&L
Enter invoices into the accounts payable system once approved
Maintain organized electronic records and documentation within the shared file system
Communicate with vendors to obtain missing or corrected invoices as needed
Collaborate closely with accounting leadership and internal departments to resolve discrepancies
Provide light administrative or front-desk support when required
Qualification
Required
Prior experience in accounts payable or transactional accounting
Comfortable working in a multi-location environment
Strong attention to detail and organizational skills
Ability to manage both simple and more complex invoices efficiently
Willingness to ask questions, learn systems quickly, and jump in where needed
Excellent communication skills, both internal and vendor-facing
